How-To: Manage MiCollab Voicemail
Are you needing to set a permanent voicemail passcode (aka PIN) or record your voicemail greeting? Please review the steps below!
Set a Voicemail Passcode
- Dial 5555 in the MiCollab desktop application, mobile application, or desk phone (if applicable). If you are signed into a desk phone, you may also press the voicemail button on the desk phone, it should look like this but upside down➿):

This will connect you to the Mitel voicemail service. Enter your temporary passcode when prompted (the standard temporary passcode is 8675). If this is your first time accessing the voicemail service, you will be prompted to set a permanent passcode (PIN), record your name, and record a voicemail greeting.
Please note: You will then need to follow the instructions from the automated system. Please listen to the entire message and don't try to skip ahead, or you may have to start over
Sign into MiCollab Voicemail Tab
Once you have set a permanent voicemail passcode using the instructions below, you may then sign into the Voicemail tab of the MiCollab desktop application:
Open the MiCollab desktop app
Select the Phone tab on the left-side menu
Select the Voicemail tab
Enter in your permanent voicemail PIN
Please note: A temporary voicemail PIN will not be accepted here. If you have not set a permanent PIN yet, please see the Set a Voicemail Passcode instructions above
Select Verify
Adjust Existing Voicemail Settings
Dial 5555 in the MiCollab desktop application, mobile application, or desk phone (if applicable). If you are signed into a desk phone, you may also press the voicemail button on the desk phone, it should look like this but upside down➿)
This will connect you to the Mitel voicemail service. Enter your voicemail passcode when prompted
Select option 8 to enter User Options
Option 4: Change voicemail greeting (see steps below for setting a temporary voicemail greeting)
Option 6: Re-record name
Option 7: Change passcode
Manage Temporary Voicemail Greeting
Setting:
Dial 5555 in the MiCollab desktop application, mobile application, or desk phone (if applicable). If you are signed into a desk phone, you may also press the voicemail button on the desk phone, it should look like this but upside down➿)
Enter your passcode
Select 8 to enter User Options
Please note: This may not be a spoken option if you have unread voicemail (e.g. you read them through your email notification instead of through the voicemail system)
Select option 4 to access your voicemail settings
Select option 4 to set an extended absence greeting (aka temporary voicemail greeting)
Press option 7 to record an extended absence greeting
Select # when recording is complete
Select 9 to save your recording
Disabling:
- Dial 5555 in the MiCollab desktop application, mobile application, or desk phone (if applicable). If you are signed into a desk phone, you may also press the voicemail button on the desk phone, it should look like this but upside down➿)
- Enter your passcode
- Before taking you to the main voicemail management options, it will advise that you currently have an extended absence greeting set. To retain your temporary greeting, select option 1. To remove your temporary greeting, select option 2
Resetting Someone Else's Voicemail
If you are a supervisor or manage a shared line's voicemail, you may need to adjust a voicemail separate from your own.
Please note: You will need to know the 4-digit extension and passcode (aka PIN) for the mailbox. If you do not have that information, please contact the Service Desk for assistance.
- Dial 5555
- Press * when you hear the automated voice start speaking
- You will be prompted to enter in in the 4 digit extension or ring group number you are trying to adjust
- Enter * when it begins playing the existing greeting for the voicemail box
- Enter the associated passcode (aka PIN)
- The automated system will then go over the menu options
- 7 to play first voicemail message
- 6 to make new message
- 8 to access user options
- 4 to change greeting
- 6 to change name
- 7 to change passcode
- 5 to change distribution list
- 9 to exit user options
- 9 exit to main menu
